Technology can either help or hurt your productivity. Some people are intimidated by it, while others embrace it whole-heartily. Regardless of where you fall on the spectrum, there are two free programs that could r
eally make your life easier to manage. If you don’t use them, you really should.
The first is Evernote. I treat Evernote like a digital filing cabinet. Anything digital can go in it and when its in there, it only takes moments to pull it back out. Evernote has helped me have quick access to information that would have otherwise been difficult to find.
Evernote can track pictures, text files, audio notes and more! Anything you put in it becomes a “note”. While you can sort these notes into folders, I have found it best to have a bare minimum number of folders. Why? Because you can add “tags” to any note in Evernote. A tag is a word that describes what the note is about so that you can easily search for it later. I try to add around 5 or so tags to every note I create so I can easily search for it later.
Evernote will search the contents of your notes automatically, so it works well even if you do not use any tags. It is also able to search the text within a picture, which is super handy for taking pictures of business cards and receipts. Check it out.
Dropbox is a service that installs a folder on your computer that will keep any file or folder inside of it synchronized with their servers and any other computer or device you install it on. They give you 2GB free, which is plenty for keeping documents and pictures handy.
I use Dropbox daily. I keep files in my Dropbox folder that I want to access from my home computer and my work computer. I also keep files in it that I want to share with others. It is easy to share a file and give a friend a link to it so that they can access it. As an added bonus, you can access your Dropbox files on smart phones and tablet devices.
